Chart of accounts and finance settings

Build the chart of accounts, import it, default accounts, automatic journals and finance roles.

Alurco finance uses double-entry bookkeeping (debit = credit). Every report is calculated from posted journals.

Step 1 — Build the chart of accounts

Menu Finance → Chart of Accounts. A company starts with an empty chart.

Field Notes
Code For example 1-1001, 1101, 1.1.01; unique
Name
Class Current asset, non-current asset, current liability, non-current liability, equity, revenue, cost of sales, expense, other income, other expense
Normal balance Automatic from the class. Choose credit for contra accounts such as accumulated depreciation
Parent, header Headers only group accounts and cannot be posted to
Cash/bank Mark accounts used for payments

Import: upload up to 1000 accounts at once (all or nothing). A parent is given by its code.

Step 2 — Finance settings

Menu Finance → Finance Settings:

Default account For
Cash, bank Payments without a specific account
Receivable (AR), payable (AP) Customer invoices, vendor bills
Sales, purchases Invoice and bill lines without their own account
Exchange difference Foreign-currency payments
Goods received not invoiced (GRNI) Orders completed before their bill
Retained earnings Balance sheet

Step 3 — Automatic journals (optional)

Off by default. Turn them on once the accounts exist:

Switch Journal
Expense claims Claim paid: debit the category's expense, credit cash/bank
Assets Asset purchase and monthly depreciation
Purchasing Order completed: debit inventory/expense, credit GRNI

Missing accounts make the related action fail, so nothing is ever half booked.

Self-posting: by default the creator of a journal cannot post it. Small companies can turn on allow self-posting.

Finance roles

Role Work
Finance Staff Prepares: draft journals, bills, invoices, daily rates
Finance Manager Posts, pays, voids, closes periods, manages accounts and taxes

Give these roles in Team members.
