Asset register
Asset categories, registering assets, statuses, book value, QR labels and purchase journals.
Step 1 — Asset categories
Menu Assets → Asset Categories: for example Notebook, Monitor, Chair, Vehicle, with a default useful life (months). If finance uses automatic journals, also set the fixed-asset and depreciation accounts.
Step 2 — Register an asset
Menu Assets → Asset Register → Add.
| Field | Notes |
|---|---|
| Code | Automatic (AST-00001) when empty |
| Name, brand, model, serial number, specification | |
| Purchase date and cost, vendor, warranty | The vendor is chosen from the vendor list, or typed freely |
| Useful life | Default from the category |
| Condition | New, good, fair, poor, broken |
| Storage | Warehouse rack (for assets nobody holds) and a location note |
Asset statuses
| Status | Meaning |
|---|---|
| Available | Nobody holds it |
| Assigned | Handed to an employee (handover) |
| In repair | Being serviced; the holder stays recorded |
| Lost | The holder stays recorded for accountability; it can be found again |
| Retired | No longer used (final) |
Every change is recorded in a history that cannot be deleted: who, when, from and to whom, condition, repair cost, and the fields that changed.
Book value
Straight line: purchase cost × remaining life ÷ useful life, never below 0. Book value and warranty are information only: an asset worth 0 can still be used until it is retired.
QR label
Choose assets → Print label. The QR label is encrypted: scanning it opens the asset page in Alurco for people who may see it, including its holder. See QR labels.
Automatic journals
With automatic asset journals on, an asset with a purchase cost posts a purchase journal, and depreciation is booked every month. See Chart of accounts.
