Vendor bills
Record bills from an order or by hand, post them, pay in part, and void.
Menu Finance → Vendor Bills.
Step 1 — Create the bill
- From an order: choose the purchase order; its vendor, lines, currency and project are copied. An order can have only one active bill.
- By hand: choose the vendor and enter the lines (quantity × price, discount, tax, expense account).
Enter the date, the due date (default from the vendor's terms) and the vendor's invoice number. Save as a draft.
Step 2 — Post
Posting fixes the taxes at the rates of the document date and posts the journal:
| Debit | Credit |
|---|---|
| Expense per line (or GRNI when the order was completed), input VAT | Income tax payable (withheld taxes), accounts payable for the rest |
Missing accounts refuse the posting and list the accounts needed.
Step 3 — Pay
Enter the amount (part payments allowed), date, cash/bank account, and the rate for foreign currency. Exchange differences are booked automatically. Fully paid = status Paid. Overdue bills appear in the notification bell.
Void
Only a posted bill without payments can be voided, with a note. Its journal is reversed. Posted documents are never changed.
Print shows the bill with the company letterhead.
