Employees

Add employees, their assignment and manager, personal data, documents, the plan quota, and the link to an account.

Menu Personnel → Employees.

Step 1 — Main data

Field Notes
Code (employee number) Leave empty for an automatic number (EMP-0001, see numbering). Unique per company
Full name First, last and nick name are filled automatically when empty
Email, national ID number Unique per company
Employment status Active, on leave, resigned, and so on
Photo JPG, PNG or WebP, up to 2 MB

Step 2 — Assignment

The assignment is the employee's current place: unit, position, grade, manager, employment type (permanent, contract, probation, intern, freelance, outsourced), start and end date.

  • An employee has one current assignment. A new one automatically ends the old one the day before; the history is kept.
  • The manager decides who approves overtime, attendance corrections and expense claims, and the "Subordinates" data scope of roles.

Step 3 — Supporting data

Data Content
Addresses ID card, current, office. One main address
Family Spouse, children, parents, siblings; dependant or not
Education Primary school to doctorate
Bank accounts One main account. Used when an expense claim is paid
Documents ID card, family card, tax card, passport, BPJS, driving licence, contract, certificate (PDF or image, 10 MB), with expiry date

Employees who use Alurco (attendance, claims, bookings) need an account linked to their record. Create it in Settings → Members → Create account and choose this employee. See Team members.

Plan quota

Free plan: at most 10 employees that are not deleted. The employee list shows the quota usage.

Delete and restore

Delete sets the status to deleted; all data stays and the quota slot is freed. Restore makes it active again.

Who sees whom

It depends on the role's data scope on this menu: self, subordinates, unit, or everyone. Employees outside the scope are not visible at all.
